A. Job Summary

Administers the Change Management process, ensures accuracy and consistency of data and participates in all Change Management aspects of verifying, approving, and auditing of the proposed RFC, along with tracking the final disposition of the implemented RFC.

B. PRIMARY DUTIES AND responsibilities

  • Define, implement, enforce, and make recommendations for Change Management and Release Management policies, processes, procedures, and communications for all IT changes.
  • Run CAB ,TAB ,eCAB meetings as requested by Change Manager and provide updates on approvedchange status, changes requiring additional follow-up and detailed reviews of high-risk changes. Record Change Advisory Board (CAB) ,Technical Advisory Board (TAB) notes and distribute meeting minutes to members ,attendees, following-up as needed with meeting specifics.
  • Ensure Change process documentation is updated with progress that occurs, including actions to improve quality.
  • Propose, track and communicate key metrics; ensure organizational compliance to Change Management standards and procedures; develop, recommend improvements to, and implement reporting of, key performance indicators.
  • Perform regular pre-approval, approval, and post-closure audits of Change Management Tickets (CMTs) (acceptance ,rejection and concise notes) ensuring appropriate documentation is in place and results are communicated to the CMT initiators.
  • Ensure that all applicable CMTs are circulated to CAB members in advance of the CAB ,TAB meeting, according to defined timeline for prior evaluation.
  • Maintain and distribute, according to the defined timeline, a Forward Schedule of Change (FSC) report, identify and communicate scheduling conflicts, and verify risk ,impact assessments for all changes based on system information and advice given by the CAB members.
  • Audit all implemented RFCs to ensure that all process, audit, and system objectives are met.
  • Produce regular and accurate management reports on all changes including all open, closed, and outstanding ,in-process CMTs
  • Work closely with the Demand Management and SNOW development teams to ensure approved system enhancements are completed and tested as requested.
  • Continuously seek opportunities to enhance and improve all process, tools, and integration points with other processes, including Incident, Service Request, Problem and Configuration Mgmt.
  • Identify and make recommendations to solve Change Management process and procedureopportunities for improvements across IT.
  • Ensure availability of up-to-date process documentation and training, and provide proactive support during process and training improvement activities.
  • Drive the execution, oversight, and progress of Change Management process execution. Take action to remove obstacles and escalate to management as needed.
  • Hold all teams (internal ,external, support ,development) accountable for meeting their commitments within the Change Management process.
  • Ensure that the Change Management process is adopted and followed across all IS and vendor teams.
  • Ensure that all stakeholders are trained, as necessary, and provided with the up-to-dateprocess, procedure, and work instruction documentation
  • Maintain up-to-date knowledge by demonstrating strong motivation in continuous learning of latest methodologies and applications in improving Change Management practices, as well as leadership and influencing techniques to drive process improvement and adaptation throughout the teams.
  • Develop thorough knowledge and understanding of the functional and hierarchical dependencies that affect mission-critical and production environments.
  • Develop, distribute and make recommendations for the continuous improvement of the Forward Schedule of Changes (FSC) Verify all relevant members of all teams are included in the weekly distribution of the FSC.
  • Participate in the Change Management aspects of implementing projects.
  • Review CMT logs to ensure accuracy and consistency of data, to filter out requests that are totally impractical, allocate priorities and categorize changes. Includes returning impractical requests to the initiator, together with brief details of the reason for rejection, allocating priority based on the impact of the problem and the urgency for remedy.
  • Conduct impact and resource audits for all RFCs that may affect the specifications of Configuration Items (CIs). This includes assessing the impact the change on user's business operations, the effects on the infrastructure, capacity, performance, reliability and resilience, contingency plans and security, the impact of not implementing the change, the resources required to implement the change including cost and people.
  • Review status of changes with IT departments ,teams to ensure data is current. Interrogate the ITSM tool to produce reports for bodies involved in change review; provide awareness material to users to explain the importance of structured Change Management process.
  • Ensure that backout procedures for authorized Changes are prepared and can be activated with minimal impact on service quality. If a back-out plan is not possible, insist on documentation of the reason why and Management acknowledgement ,approval of the lack of plan in each CMT.
  • Partner with concerned technical staff to ascertain that a Change is feasible, sensible and can be performed without any inappropriate detriment to the services provided to the business. Obtain or facilitate customer approval to implement the proposed change.
  • Assist other team members in making sure staff are trained and know the location of appropriate documentation and information.
  • Assist in developing and implementing Key Process Areas (KPAs) as directed.
  • Assist in developing a continuous service improvement plan as well as the necessary follow up to ensure tasks are performed in the defined manner and that established goals are being reached.
  • Assist release initiators (Projects, Enhancements, Quality Assurance, Operations, Security or other IT Functions) with meeting Change and Configuration Management requirements.
  • Participate in developing a structure for improvement activities as well as the necessary follow up to ensure that RNTBCI (as well as NNA) tasks are being performed in the defined manner and that established goals are being reached.
  • Assist with the production of schedules for managing mirror releases to live infrastructure. Includes assisting in the rollout of software and related hardware.
