JOB SCOPE: Under the general direction of the Management, and within the limits of established and local policies & procedures, directs all aspects of secretarial work in the office, maintains the executive office to Presentation standards and maintains all matters relating to executive administration in a confidential, professional manner. KEY RELATIONSHIPS: All Departments; executive Committee; Suppliers

Key Responsibilities

  • Reports directly to and communicates with the Chairman on all administrative matters
  • Maintains the utmost confidentiality and discretion when handling business affairs
  • Cooperates, coordinates and communicates with Department Heads and other inter-departmental secretaries as appropriate
  • Supervises the work of the Executive Office staff (Receptionist, Office boy, Drivers)
  • Day-to-day secretarial work to include typing, filing, faxes and telephone etc.
  • Distribution of memos, letters and other information etc.
  • Arranging internal / external appointments
  • Handling reservation as requested
  • Translating incoming letters, documents, articles by request
  • Provides pertinent information on socio-political matters
  • Storing and keeping all confidential information
  • Preparing monthly operational results for meetings with other hotels
  • Taking minutes of Department Heads /Ex.Com meeting as requested
  • Customer Service
  • Demonstrate service attributes in accordance with industry expectations and company standards including:
  • Being attentive to Guests
  • Accurately and promptly fulfilling Guests requests
  • Anticipate Guests needs
  • Maintain a high level of knowledge which affects the Guest experience
  • Demonstrating a service attitude
  • Taking appropriate action to resolve guest complaints
  • Appreciate the dynamic nature of the Real Estate industry and extend these service attributes to all internal customers
  • Health, Safety and Security
  • Demonstrate understanding and awareness of all company policies and procedures relating to Health, Hygiene and Fire Life Safety and ensure your direct reports do the same
  • Familiarise yourself with emergency and evacuation procedures
  • Ensure all security incidents, accidents and near misses are logged investigated and rectified to prevent future catastrophes
  • Financial Management
  • Under the assistance of the Chief Financial Officer co-ordinate the preparation of the Departmental annual budget and work to achieve the budget by monitoring and controlling the departmental operations, considering revenue and expenditure
  • On an ongoing basis, control and analyse departmental costs to ensure performance against budget; implementing corrective measures where necessary to produce positive business results
  • Effectively manage staffing costs by preparing efficient work schedules in line with legal requirements
  • General

  • Perform tasks as directed by the Management in pursuit of the achievement of business goals
