Job Description Let s break down the basics: Location: Pune, India Manager: Senior HR Manager, India Indirect Management: US HR Management Direct Reports: None Your mission at IntegriChain: The mission of this role is to support the overall People & Culture operations for our Pune, India office. This role is a highly collaborative position that requires precise, process-driven work as well as the ability to respond to individual employee concerns and questions. The Operations Specialist will play a primary role in providing an excellent employee experience including onboarding and offboarding, as well as day-to-day response on employee needs. This role will collaborate with our People Operations Specialist and Senior HR leadership to also be a critical part of our overall employee operations functions and be responsible for data integrity. This role will also be connected with our US-based People Operations team and will be a critical part of team connectivity and process alignment within our global teams and functions. What this role entails: Operations Collaborate with Talent Acquisition team and affiliated HR team members to ensure smooth and seamless transition from pre-hire to onboarding and new hire status; maintain effective communication with Hiring Managers and Talent Acquisition team as well as keep hiring managers informed of best practices for onboarding their new employees Maintains workforce data in ADP HR systems; follows data entry SOPs, audits entry details, and works with HR Leadership & the HR Analytics Specialist to implement new data fields, reporting, and tracking/update mechanisms as needed This includes new hire information, pay details, employee data updates, and offboarding details Ensure use of SOPs and alignment to processes and control systems to prevent issues and ensure compliance occurs with employment policies and procedures Primary HR email / inbox responder, allowing for consistent and quick response to incoming employee requests and needs; build templates and create efficiency and consistency in responses Complete project-based work activities to maintain tracking details of new hire process and documentation, keeping all stakeholders informed at various stages of onboarding. Create, and maintain/support New Hire employee files including hard copy and digital files Assist the HR Analyst with management of data and requests including data integrity, reporting, and HRIS environment updates Become knowledgeable and a subject matter expert within our ADP HRIS and Payroll systems and provide ad hoc/as requested information out of the system to internal managers and external stakeholders - in collaboration with HR Analyst & HR Management Follow and/or establish efficient people operations processes and procedures internally to ensure proper handling of data, alignment to operations processes, and company policy May provide input to job aids, policy updates, or internal training documents in collaboration with HR Management and the Org & Talent Development team Make recommendations for improvements or efficiency where possible; build consensus and collaborate with involved team members to ensure accuracy and requirements are met Manage resignation acceptance process with employees and their direct managers When involuntary exit, partner with Managers and HR Leaders to ensure proper documentation is met before exiting Employee Relations and Communications and Interactions Create positive experiences at every step of the employee journey, following and building thoughtful practices that engage employees Assist with updating All Hands meeting materials on a bi-monthly basis Create and manage outgoing employee communications on information that impacts employment or workplace updates, such as change letters for promotions/transfers and other informational communications such as office, benefits, or events updates Provide employee relations support and guidance to all designated teams Triage employee relations cases, proactively identifies potential solutions to address employee issues and actions appropriately using guidelines; escalates to HRBPs and leadership where appropriate HR Support Provide high-level client service while educating end-users on all HR policies, including data privacy, distribution, and allowable use Partner with India and US HR team members to ensure employee processes are followed (such as 90-day check-ins/letters) and collaborate with them on employee relations or management requests Assist with and/or manage data related to payroll processing, including salary revisions and promotions, job title changes, insurance adjustments, and employee exits. Partner with Finance and other HR team members to ensure processes are followed accordingly Ensure proper communications are shared with internal teams and managers of exiting employees as well as information transfer to/from third-party vendors Schedule and conduct exit interviews with offboarding employees Manage and update insurance additions and deletions on a monthly basis. Manage and update EAP additions and deletions on a monthly basis. Manage International and Domestic Travel, Travel Insurance, and Visa Assistance for International travelers; partner with 3rd party provider and provide employee education and details on what information is needed to prepare for travel Vendor management with contractors on an as needed basis. Other duties as assigned by HR Leadership What success looks like in this role: Be able to work independently with the ability to seek help, deliver results, and partner with the right people, proactively Follow and execute efficient and effective processes to ensure accuracy of actions Make suggestion for improvements that allow the team to scale and grow with the organization, including potential for efficiency and effectiveness on existing processes or new processes Qualifications What you ll need to thrive in this role: Flexible and adaptable nature Organized with an ability to prioritize and consistently follow-through with a strong sense of urgency Ability to manage multiple projects with multiple deadlines Team spirit and ability to positively engage with people at all levels Ability to handle sensitive and confidential information Solid communication skills in English (verbal and written) What you ll bring to the table: Bachelor's Degree or equivalent experience; focus on Human Resources degree or certification preferred 3 to 5 years of experience in Human Resources related role Experience in a corporate setting, preferably within Life Science and/or Technology industries Basic generalist knowledge of employment practices and labor legislation Prior success delivering on deadlines in a fast-paced environment preferred Prior experience working for a fast growing, mid-sized company preferred Experience within an international organization that has both India and US-based locations highly preferred Experience with ADP Payroll and ADP Workforce Now systems a significant plus Additional Information What does IntegriChain have to offer?
