Who can apply?
Graduate with 8+ years of experience. Engineering graduate who can understand the engineering projects of Oil & Gas / Energy is preferred.
Have experience in handling various documentation systems for oil and gas engineering and projects. Should have exhaustive experience in handling client, vendor, engineering and project documents both inward and outward. Should be familiar with engineering project interfaces, tracking, reporting and follow-up. Should be highly energetic, very good in communication and work towards improvisation.
Document management system or document controller certification will be an added advantage.
Software Skills
Must possess knowledge of: Proarc, Project-wise, Filery, Documentum, Sharepoint or any similar document management systems.
Must possess knowledge of: Miscrosoft office
Knowledge of Visual Basic and Macros will be an added advantage.
Work as Document controller in Piping and Mechanical discipline for Upstream, Mid and Downstreamoil & Gasprojects
In this role you will primarily involve in document management consistency across all projects, rigorously, maintaining control and traceability of the documentation from project initiation throughout completion.
Primary role and Additional roles:
- Ensure that the project is executed in accordance with Rambolls Document Control (DC) guidelines and Client specific requirements
- Always ensure an efficient document flow and a clear status of all documents at times
- Establish and update master document register (Status, progress, forecast)
- Update logs of sent and received documents, including manage formal comments on documents
- Combine large PDF files, submit documents, incl. packages and native files to clients
- File emails, documents, including copies of vendor document in Data Management System (ProArc and ProjectWise (filery))
- Handle documents for approval, check and review in workflows.
- Maintain contact with clients DCs, vendors DCs and project team to ensure deliveries according to schedule
Additional roles
- Provide ProArc user assistance
- As a member of the DCC team participate in the implementation of standardised DC working routines, including the use of ProArc in relation to projects,
- Specific Job task:
- Responsible for Handling the Denmark DCC inbox
Stakeholder Management and Meetings:
- As and if required, attend project Kick Off Meeting and weekly review meetings projects team and other stakeholders to brief / present about project documentation.
- To support an effective management of stakeholders between Chennai and other Ramboll Energy (REN) spearheads performing all project related documentation activity by having periodical progress review meetings.
