General Description of Role:

Business Voice Executive will be the first line of communication between a patient and physician who aids patients to book a doctor on call. One s job duties include greeting and assisting patients who have come for an appointment, handling mail, and live chats thereby helping to create a friendly and orderly environment for their employer. One will be responsible for giving patients information on what is happening in the clinic and checking them in for appointments. Additionally, the Business Voice Executive usually performs clerical tasks around the office, such as scheduling, filing, and billing. The duties will vary slightly depending on the employment environment - doctor's office, clinic, healthcare practice or hospital. However, the core functions and requirements of the job remain standard. Most work is completed during office hours, though for medical services that are open 24 hours a day, like hospital emergency rooms, irregular hours and night shifts may be required.

Duties and Responsibilities:

  • Answer phones, schedule appointments and organize medical records
  • Greet patients, answer incoming calls, deal with inquiries, and transfer calls as required
  • Register patients according to established protocols
  • Answer patients queries on call, email, and chat while ensuring quality customer service
  • Manage receivable and payable accounts and maintain financial records
  • Use medical software to support all transactions
  • Collaborate with doctors and nurses to help with medical examinations and schedule tests
  • Interview patients for case histories prior to appointments
  • Update and maintain patients health records
  • Assist patients with initial paperwork
  • Keep up-to-date with changes in medical legislation
  • To seek information as to how the customer is planning to make his/her payment
  • To handle the inquires and make reservations as per the instructions given by the customers
  • Move patients through appointments as scheduled
  • Report statistics as required
  • Schedule hospital admissions, tests, scans and outside appointments for patients
  • Obtain external medical reports as required by medical professionals
  • Respond and comply to requests for information
  • Deal with incoming and outgoing post
  • Complete other clerical duties as assigned
  • Maintain stock of forms and office supplies
  • Ensure reception area is well maintained, neat and clean
  • Safeguard patient privacy and confidentiality

Key Competencies and Skills:

  • Proven work experience as a Front Desk Medical Representative and Administrative Assistant
  • Should be known to medical ethics, anatomy, computerized medical office procedures and medical terms
  • Well-known to US culture and updated with medical terms and queries
  • Shall be responsible for scheduling and coordinating appointments
  • Should be able to handle calls, emails, and live chats
  • Should have proven and stable previous performance record
  • Knowledge of healthcare operations and excellent organizational and multitasking skills
  • Should be able to listen effectively and express oneself in a clear and articulate manner
  • Should be fluent as native speakers of US with customer-oriented communication skills
  • Hands on experience with medical software and MS Office
  • Interpersonal communication, customer service, and time management skills
  • Able to collect, organize and monitor data efficiently
  • Able to multi-task, prioritize and schedule tasks and activities
  • Able to develop good customer relationships with a focus on achieving customer satisfaction
  • Able to adjust approach to meet changing demands and situations including dealing with diverse people
  • Able to maintain confidentiality and adhere to ethical standards

Education and Experience:

  • Graduate in any discipline but degree/diploma/certification in medical administration is a plus
  • knowledge of medical terminology, procedures and diagnosis
  • knowledge of computer and relevant software applications
  • knowledge of general administrative and clerical procedures
  • working knowledge of healthcare industry preferred
