Job Description

We are looking for an Executive Assistant to perform a variety of administrative tasks and support our Managing Director by acting as the point of contact among executives, employees, clients and othe external partner.

Roles and Responsibilities:

  • Minimum 1 and Maximum of 3years of experience in developing UI
  • Should Complete a broad variety of administrative tasks like: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the MD s schedule is followed and respected. Provides gatekeeper and gateway roles, creating win-win situations for direct access to the MD s time and office.
  • Works closely and effectively with the MD to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a barometer, having a sense for the issues taking place in the environment and providing updates.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting
  • acknowledgement letters, personal correspondence, and other tasks that facilitate the MD s ability to effectively lead the company.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through to successful completion, often with deadline reminders.
  • Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all meetings.
  • Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings
  • Managing information flow in a timely and accurate manner
  • Managing executives calendars and set up meetings
  • Make travel and accommodation arrangements, both domestic and international
  • Track daily expenses and prepare weekly, monthly or quarterly reports
  • Act as an office manager by keeping up with office supply inventory
  • Format information for internal and external communication memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system

Requirements

  • Good organizational skills, and the ability to maintain a realistic balance among multiple priorities
  • Emotional maturity
  • Maintains discretion and confidentiality
  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
  • Excellent verbal and written communications skills
  • Education: Any Bachelor s or Master s degree
