Job Summary

Key Responsibilities

1. Recruitment & Selection

Execute the recruitment process as per defined HR policies.

Source and attract candidates through databases, social media, and recruitment agencies.

Conduct interviews and screen candidates for open positions.

Coordinate with department heads for manpower requisition and ensure timely offer releases.

Adhere to recruitment timelines:

Average closure time: 45 days for junior/medior roles and 2.5 months for senior positions.

Achieve cost optimization by sourcing at least 5 out of 10 hires via referrals instead of headhunters.

Follow up with candidates for offer acceptance and resignation formalities from their current employers.


2. Induction & Onboarding

Conduct departmental induction for all new joiners.

Organize onboarding activities and welcome sessions for new employees.

Maintain personal file records including Offer Letters (OL), Appointment Letters (AP), Confirmation Letters (CL), Increment Letters (IL), Promotion Letters (PL), and Transfer Letters (TL).

3. Payroll Management

Assist in processing payroll by managing attendance deviations.

Ensure 100% accuracy and confidentiality in payroll data management.

4. Training & Development

Support the creation of the annual training calendar and budget plan.

Facilitate mandatory training programs (minimum 3 per month: 1 external, 2 internal).

Identify training needs based on business requirements.

Organize training programs and gather feedback to evaluate effectiveness.

Maintain accurate training records: attendance, feedback, effectiveness reports, and history cards.

5. Employee Engagement

Assist in preparing the employee engagement calendar and budget plan.

Promote positive employee relations and resolve conflicts.

Organize engagement activities: sports, team-building, picnics, festivals, birthdays, employee appreciation, traditional day, etc.

Contribute to creating a positive organizational culture.

Conduct periodic employee opinion surveys to improve retention.

6. Employee Relations

Interact with employees regularly to understand concerns and share updates.

Conduct periodic communication meetings, site visits, and employee gatherings.

Introduce new communication channels such as newsletters or house magazines.

Handle employee grievances in a timely and effective manner.

7. Exit Formalities

Manage exit procedures and issue relieving letters, experience letters, and Form 16.

8. Performance Management

Upload individual KPIs on the employee portal and ensure acknowledgment from employees.

Conduct timely and structured performance reviews for all employees.

9. MIS & Reporting

Prepare, compile, and circulate HR MIS reports.

Maintain HR dashboards including Organization Charts, Recruitment Tracking Reports, Sales Manpower Reports, and Advance Registers.

Prepare monthly HR MIS presentations (PPT).


Qualifications & Skills (Optional — Add as needed)

  • Bachelor’s degree in HR, Business Administration, or related field.
  • 1–3 years of HR generalist experience.
  • Strong communication, interpersonal, and organizational skills.
  • Proficiency in MS Office and HR software/tools.
  • Ability to multitask and manage deadlines effectively.
