Job Summary
Join us as Exec Assistant & Project Coordinator, where you will be part of one of the largest, most complex and impactful organization, which is touching every part of our business.
Your responsibilities include, but are not limited to:
Assist P&O Business Partners in maintaining various P&O processes (i.e: performance management, recruitment & selection, induction for new hires, talent management, OTR, succession planning) for a predefined population in close cooperation with the respective process expert(s).
Handle and coordinate administrative tasks to support the implementation of various P&O programs and initiatives. (e.g. maintain and improve P&O information systems, follow up employee inquiries and provide reliable information on basic P&O processes, participate in P&O projects aimed at improving administrative P&O processes, etc.).
Perform administrative tasks to facilitate the delivery and presentation of key data to supervisors & Support P&O BPs in informing Line Managers on all matters related to coaching, mentoring and personal development within their teams & Provide assistance to P&O projects at country or BU level.
Work on proactive calendar management, travel/expenses, team meetings/offsite etc. for the senior leader & arranging business meetings, documenting minutes of the meetings sharing appropriate follow up emails with the stakeholders.
Work on administrative tasks for the P&O leadership such as composing and preparing correspondence that is sometimes confidential, arranging travel plans, itineraries, and agendas and compiling documents for travel-related meetings.
Handling of administrative projects tasks with clearly defined content and time limitations & Acts as a team member for administrative projects and manages the administrative part of special tasks & Keep track of the headcount and basic finance of P&O for NBS team, engage with respective BPA in regular checking and review meetings globally.
Project manage the cross-location/domain challenges and opportunities, e.g. feedback on JobBuilder, P&O Ops service catalog, OurVoice report and TODI activities etc & Master owner to maintain and keep live of the P&O for NBS share point & maintain the list of team s priorities and follow-up with respective leaders to ensure progress along the defined milestones.
Help with managing the NBS change network, e.g. network meetings, capability building, and some level of program management & Supports optimization of current processes and/or introduction of new or modified processes in own area of responsibility.
3+ Years of experience in executive administration and project coordination.
Demonstrated proficiency in understanding organization culture and ability to establish relationships both externally and internally.
Ability to manage local / global stakeholders in a remote working environment.
Self-directed, detail oriented, problem solver with a burning desire to contribute.
High energy, driven, articulate and friendly personality with a customer- service mindset & Ability of being assertive as in when required.

Minimum requirements
Masters / Bachelor s degree required. Human Resources discipline preferred.3+ Years of experience in executive administration and project coordination.
Demonstrated proficiency in understanding organization culture and ability to establish relationships both externally and internally.
Ability to manage local / global stakeholders in a remote working environment.
Self-directed, detail oriented, problem solver with a burning desire to contribute.
