Primary purpose of the role: This role is a key part of the global Agreement to Cash (A2C) organisation, which is focussed on billing, cash applications, disputes and cash collection. As part of the APAC A2C leadership team, the India A2C Finance Business Manager role is focused on driving improvements and delivery to its Cash Collections, processes, organisation & standardisation goals within India. This is a role that faces off to senior business and finance leaders, engages with key customers, provides key support to all the India A2C teams , is an integral part of overseeing any A2C related project implementation initiatives and interacts with key stakeholders to influence and drive efficiency & effectiveness across the Invoice to Cash process to support Iron Mountain s Cash Mindset philosophy. The India A2C Finance Business Manager will be responsible for the day to day for managing, motivating and leading the India A2C teams in conjunction with the A2C Operations Controller, engendering a sense of empowerment in the pursuit of first class customer service delivery. This will include driving delivery of cash collection strategies which align with core Iron Mountain policies and tightly managing the teams, requiring meticulous attention to detail and the ability to accurately interpret key collection outcome drivers, taking appropriate action where necessary. The role will include ownership of India s key collection targets of cash collections, ageing health and Bad Debt Expense (BDE), along with being a key stakeholder in managing the successful relationship between IRM key internal stakeholders & our Collections BPO provider Sutherland Group Services (SGS). The role will include ownership of ensuring key strategic A2C policies & processes are adhered within the India Agreement to Cash process, as well as being part of the design & roll out of the future A2C service delivery & technology roadmap. Support: The role will partner closely with the Director of APAC A2C, A2C India Operations Controller, APAC CFO, Sales/Operations VPs and Directors and our Care leadership to drive cash collection and liaise with the Sales and Operations account owners to address issues that impact upon A2C process efficiency and cash collection performance. Govern: The India A2C Finance Business Manager will act as the People Leader for the India A2C In-Country team and will be responsible for local governance and control activities, as well as the local implementation of A2C Collection policies to meet the requirements of our end state model. The role will also be responsible for performance management and line manager activities for direct reports, including performance reviews and working with HR on relevant matters. This role will lead risk discussions on Revenue, Accounts Receivable, Cash Collections with the Sales/Commercial, CARE organisations as well as the India CFO & FP&A leaders. This will involve challenging the status quo, the ability to drive to a standard & be immovable to make good decisions for Iron Mountain India. Financial Accounting responsibility The India A2C Finance Business Manager will have responsibility for the collection related accounting balances and movements, in particular BDE, General and Specific A/R & Credit Memo Reserves, write offs and elements of revenue accounting. Improve: We are conducting a global A2C Transformation, implementing standards processes, operational procedures and a standard global technology stack. The role will be responsible for the local implementation of A2C leading practices (policies,procedures, reports) for India Collections as well as ensuring the India A2C function is a well respected business partner within the local Commercial, Operations, CARE & FP&A stakeholders. Key Accountabilities Strategic Direction Driving cash collection to meet targets for A2C as well as embedding a cash mindset in all activities and A2C Collection teams Supporting the A2C team to localise any global initiatives and drive local implementation Management of India aged receivables, BDE and ultimately driving achievement of EBITDA targets Drive risk discussions on Revenue, AR, Cash Collections with senior leaders of the Commercial & Finance functions Management of standardisation, both in systems, policy and processes as per the global A2C roadmap Identify future growth requirements around non core product lines, e.g. ALM, IMDC, GLEAM etc. Operational Management Governance of cash initiatives e.g. cash calls and meetings, target setting, collection reviews, monthly reporting etc Enforcing compliance with A2C policy, identifying and addressing any deviations with those concerned, e.g. discussing the unapproved granting of extended payment terms & non standard billing with Sales management and agreeing remediation plans Leading cross-functional (Sales, Operations, Finance) sessions to drive the eradication of the root causes of the most frequently occurring disputes, ensuring that action plans are documented and executed on time. Support & Oversee the in-country Ownership of Iron Mountain s Internal Global Audit Controls (SOX-Lite) relating to Accounts Receivable, specifically Controls, 2.2 (Manual Billing & Credit Memos), 2.3 (Revenue Reconciliation), 2.4 (Accrued & Deferred Revenue) and 2.5 (A/R Reserves Aging Analysis) Interpreting changing customer payment performance segmentation results to track the degree of success in applying specific collection processes to specific customer segments, e.g. assessing the impact of proactive telephone collection and fast track dispute resolution upon major bad paying customers. This will include liaising with Sales teams to present Providing guidance and advice on how to resolve major customer payment issues, e.g. reviewing accounts with significant aged backlogs of unpaid invoices, unresolved disputes and unallocated cash. This will include leading meetings with major customers to discuss issues and agree balanced resolution plans. Managing the implementation and ongoing execution of leading practice cash collection processes including proactive telephone collection, variable automated dunning letter cycles, service suspension & Do Not Sell lists etc. This will include reviewing results on a monthly basis and making adjustments as and when required. Facilitating decision making with local A2C stakeholders, including effective communication on status, issues, risks and opportunitiesManaging the overall level of credit-related risk by tracking and monitoring the level of 90 day+ overdue receivables, identifying reasons, driving actions to collect cash and actions to resolve unresolved disputes. This will include reviewing the relationship between credit-based risk assessment, payment performance and 90 day+ overdue receivables to identify and action opportunities to adjust initial decision making on payment terms and payment methods. Facilitating decision making with local A2C stakeholders, including effective communication on status, issues, risks and opportunities. Work closely with the 3rd Party Collections partner to ensure India agreed Cash, Aged Debt & BDE KPI s are met, strategies & solutions are implemented to achieve agreed targets. Oversee all Collections & Billing related month-close activities and month-end reporting ensuring that timescales are consistently met. People Management The role has 2 direct reports, however as referenced in the point above the role is a leadership & guidance role across all India A2C areas & will have a number of dotted reports from both IM s internal Captive Shared Service & our external Collections BPO Ensuring that key stakeholder relationships are maintained and there is strong communication and interaction between key business unit stakeholders and A2C functions. Identifying and supporting the development of appropriate A2C related training to fill capability and skills gaps. Identifying top talent within the India A2C organisation, manage and mitigate these individuals as appropriate.
