Role Descriptor

DHL Express is looking for a Commercial Coordinator to join and lead our team. He/she will be responsible for providing effective and efficient administrative support on matters pertaining to the Management in the Commercial functions.

Scope of role

No. Of FTEs [year]: Total FTEs managed under each customer segment, and in total.

Other relevant dimension: Provide admin support to Vice President - Commercial.

Key Responsibilities

He/she will have to perform the following key activities:

Vice President - Commercial:

o Organize meetings or conferences when held locally, acting as secretariate and liaison-in-charge.

o Assist the VP-Commercial in the preparation of notes/materials for meetings. Prepares slides for presentation, which requires some individual judgement and creativity.

o Manage VP Commercial s office in his absence and ensures all matters requiring the VP Commercial s attention are redirected with discretion and attended to meticulously.

o Any other related duties and tasks assigned by the VP Commercial.

Country Commercial Function:

o Organize and minute monthly Commercial Meetings. Plays key role in organization and/or coordination of other key or large-scale Sales or company events e.g. Sales conference, recreation activities, family days, visitor lunches, etc..

o Assist the other Sales Managers where necessary

o Provide basic analysis into Sales and related data and information under the instructions of the VP Commercial.

Suppliers (travel agents, hotel, other service providers):

o Travel and accommodation arrangements for participants, liaison with relevant hotels and overseeing various logistics arrangements.

Regional and Country Senior Management:

o Collate data for reports (both country and regional) and other required documentation; ensuring deadlines are complied with.

Country Office:

o Coordinate with other departments coordinators to ensure that administrative office information and procedures are updated and complied with efficiently.

o Ensure that the department has enough office and marketing supplies for sales frontline and country office staff in Commercial.

Information Management:

o Organize and maintain an up-to-date filing system that provides quick and efficient reference

Requisition Management:

o Process new CAAs and Purchase Requisitions for Commercial Dept s investments.

General Administration:

o Administer incentive programs such as staff awards, loyalty points, sales lead, etc.

Incumbent has no direct reports and authority over country line and functional personnel.

He/She should have Informal influence to enable improvement and change within the organization.

Skills Required

Time management skills.

Communication skills, spoken and written.

Software skills (Word, Excel, PowerPoint, etc.).

Knowledge of DHL processes is preferred

Profile Requirements

(Experience/Certifications/Qualifications/Licenses)

2-4 years of experience in an administrative and support role.

Graduation or Diploma equivalent.
