Job Summary

Position Title: Executive Assistant to CEO (8 12 Years Experience)

Location: Navi Mumbai

Overview:

We are seeking an experienced and highly organized Executive Assistant to the CEO who can operate at a strategic level while also handling detailed administrative and analytical tasks. This unique hybrid role combines traditional executive support with elements of customer escalation management and business analysis, offering the opportunity to work closely with leadership and drive cross-functional efficiency.

Key Responsibilities:

1. Executive Support

  • Manage the CEO s calendar, appointments, travel, and daily schedule
  • Prepare agendas, presentations, reports, and other documents for internal and external meetings
  • Handle highly confidential and sensitive information with discretion and professionalism
  • Proactively anticipate the CEO s needs and support task prioritization

2. Customer Escalation Management

  • Serve as the first point of contact for escalations directed to the CEO
  • Collaborate with department heads to resolve issues efficiently and appropriately
  • Determine when CEO involvement is necessary and facilitate communication
  • Maintain detailed records of escalations, actions taken, and resolutions achieved

3. Communication & Liaison

  • Act as a liaison between the CEO and internal teams, clients, partners, and external stakeholders
  • Ensure timely, clear, and professional communication on behalf of the CEO
  • Represent the CEO in interactions and communications when required

4. Administrative Excellence

  • Oversee day-to-day administrative functions to optimize the CEO s productivity
  • Streamline internal workflows and drive efficiency in support processes
  • Maintain accurate and organized documentation, reports, and records

5. Business Analysis Support

  • Gather, analyze, and interpret business data, KPIs, and financial reports to provide insights
  • Identify opportunities for process improvement and assist with strategic planning
  • Liaise with business units to collect requirements, assess operational performance, and support decision-making
  • Maintain documentation related to business operations, projects, and performance metrics
  • Collaborate with project managers and cross-functional teams to support organizational initiatives

Required Skills & Qualifications:

  • 8 12 years of experience in executive support, operations, or business analysis, preferably supporting C-level leadership
  • Exceptional communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • High level of discretion and integrity in handling confidential information
  • Proven experience managing customer escalations and resolving issues diplomatically
  • Strong analytical and problem-solving skills; experience using data analytics tools is a plus
  • Ability to work independently, prioritize effectively, and adapt in a fast-paced environment
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); knowledge of business analytics tools is an advantage
