Job Summary

PREFERRED QUALIFICATIONS

  • A Bachelor s degree in a relevant field preferred
  • 3 years experience working in an office setting
  • Advanced knowledge of software tools, including Microsoft Office 365
  • Knowledge of and ability to operate office related equipment such as phone systems, fax machines, copiers, scanners, printers
  • Good organizational skills
  • Extremely effective communication skills
RESPONSIBILITES
  • Provide standard clerical duties as assigned, including copying, mailing, electronic filing, and all forms of communication with clients, staff, and vendors
  • Organize meeting schedules for company and employees when needed
  • Respond promptly to incoming communications, such as phone calls, emails, and texts
  • Create, build, and sustain relationships with customers, vendors, and service providers
  • Assist with filtering and forwarding communications to appropriate individuals and groups
  • Create written and typed reports, including memos, business letters, government documents, and employee-related forms or correspondence
  • Organize small to large scale events and provide ongoing assistance during events; actively participating in the planning and execution of company, or company related, events
  • Manage office services, operations, and procedures remaining organized at all times to assure: correspondences are answered and electronically filed for immediate retrieval,
  • filing systems are maintained and designed for easy access, supply requisitions are reviewed and approved, and all clerical functions are properly administered and monitored

  • Manage human resources related activities, including payroll and personnel databases employing accuracy in all accounts.
  • Maintain and order necessary office equipment and supplies as needed and approved.
  • Identify and share creative ideas and opportunities for process, flow, office management improvements, and for design and implementation of new systems.
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, performing research, and creating specialized reports.

  • Ensure security, integrity and confidentiality of data, documents, conversations, photos, reports, etc.
